Who is responsible

PHENIA GENETICS LTD (company number 17438712), incorporated in England and Wales, with registered office at 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom, operates this pre-launch website and is the controller responsible for personal information collected through it, including information submitted by Canadian visitors. Canadian privacy enquiries and rights requests are handled by the PHENIA Privacy Lead at privacy@phenia.co. Before Canadian paid services or genetic-data processing begin, PHENIA will identify any applicable Canadian contracting/privacy entity and provide the relevant service-specific privacy and consent documents.

Information we collect

For early access, we may collect your email address, region and stated product interests. For partner applications, we may collect your name, contact details, location, business and professional information, qualifications, audience or client reach, commercial preferences, application answers and correspondence with us.

Our website host and form provider may also process technical information such as IP address, device or browser information, timestamps, form-submission metadata and security logs.

These pre-launch forms are not intended to collect DNA files, genetic results, medical records or other health information. Do not include that information in a partner application or email.

How we use it

• To respond to enquiries and provide requested pre-launch updates.
• To assess partner applications, suitability, territory availability and programme participation.
• To administer and improve the website, communications and partner programme.
• To protect PHENIA, applicants and website users from misuse, fraud or security threats.

Our basis for using information

For UK users, we rely on consent for optional marketing, legitimate interests for reviewing applications, responding to enquiries, operating and securing the website and administering the pre-launch programme, and legal obligations where applicable. For Canadian users, we seek meaningful consent for the stated collection, use and disclosure of personal information, subject to lawful exceptions.

Sharing and service providers

Netlify provides website hosting and form processing. We may also use email, customer-management, security and professional-adviser services. Providers should receive only the information needed to perform their role and may process it under their own contractual and security arrangements. We may disclose information where legally required or necessary to protect legal rights. PHENIA does not sell personal information collected through these pre-launch forms.

Cookies and similar technologies

PHENIA does not intentionally use advertising cookies or behavioural advertising on this pre-launch build. The hosting provider may use essential security, load-balancing or fraud-prevention technologies and maintain technical logs. If PHENIA later adds non-essential analytics or advertising technologies, this notice and any required consent controls must be updated before they are enabled.

International processing

PHENIA operates across the United Kingdom and Canada. Information may be processed in another country by PHENIA or its service providers. Where required, appropriate contractual or other safeguards should be used.

Retention

Early-access information is retained until you unsubscribe, the pre-launch programme ends or the information is no longer reasonably needed. Unsuccessful partner applications should normally be deleted or anonymised within 24 months after the decision unless a longer period is required for a dispute, legal obligation or a new application you request. Accepted-partner records may be retained for the relationship and an appropriate legal record-keeping period afterwards. Limited suppression information may be retained to honour an unsubscribe request.

Security

PHENIA and its providers should use proportionate administrative, technical and organisational safeguards. No internet transmission or storage system can be guaranteed completely secure. Do not submit DNA, genetic results, medical records, payment-card data or government identification through these pre-launch forms.

Your choices and rights

You may unsubscribe from marketing using the link in an email. Depending on where you live, you may also have rights to request access, correction, deletion, restriction or a copy of your personal information, withdraw consent, or object to certain uses. We may need to verify your identity before completing a request.

Please contact privacy@phenia.co first so we can investigate. UK users may also contact the Information Commissioner’s Office. Canadian users may contact the Office of the Privacy Commissioner of Canada or the applicable provincial privacy regulator.

Adults only

The pre-launch forms are intended for people aged 18 or older. Do not submit information about a child.

Future genetic services

A separate service-specific privacy notice, explicit consent process and service terms will apply before PHENIA collects or processes DNA samples, genetic data or health-related information. Members will be told what data is collected, why it is used, who may receive it, applicable retention/deletion rules and how to withdraw consent where the law allows. This pre-launch notice does not replace those documents.

We may update this notice as PHENIA’s services and systems develop. The date above will show when it was last revised.
